Voycee ("we," "us," or "our") operates the Voycee platform, a voice receptionist service. This Privacy Policy describes how we collect, use, store, and share information when you use our website, portal, and voice receptionist services (collectively, the "Service").
2. Information We Collect
We collect the following categories of information:
- Account information: Name, email address, organization name, phone number, and billing details when you create an account.
- Call data: Phone numbers, call recordings, transcripts, call duration, and metadata generated when your receptionist handles calls.
- Usage data: Pages visited, features used, receptionist configurations, and interaction logs within the portal.
- Technical data: IP address, browser type, device information, and cookies for authentication and analytics.
- Integration data: Data shared through connected third-party services (e.g., CRM, calendar, messaging platforms) as configured by you.
- SMS data: Phone numbers used for SMS notifications. We use your phone number solely to deliver service-related text messages (call alerts, account notifications). We do not sell or share phone numbers with third parties for marketing. See our SMS Terms for opt-in and opt-out details.
3. How We Use Your Information
We use collected information to:
- Provide, operate, and improve the Service
- Process and route inbound calls through your receptionist
- Generate call transcripts, summaries, and analytics
- Process payments and manage your subscription
- Send service notifications, alerts, and support communications
- Detect and prevent fraud, abuse, and security incidents
- Comply with legal obligations
4. How Calls Are Processed
Voycee uses voice and speech technologies to provide the Service. Specifically:
- Voice Processing: Inbound calls are processed automatically to understand speech, generate responses, and conduct conversations on behalf of your business.
- Transcription: Call audio is automatically transcribed into text using speech-to-text technology.
- Mood detection: Calls are analyzed to detect caller mood, call reason, and key topics.
- Call summaries: Voycee generates automated summaries of each call for your review.
Automated content (transcripts, summaries, mood scores) may not always be fully accurate. These outputs are provided as tools to assist your business operations and should not be relied upon as the sole basis for critical decisions.
5. AI Limitations and Disclosure
Voycee uses artificial intelligence to handle phone calls on behalf of your business. Callers are informed at the start of every call that they are speaking with an automated AI receptionist and that the call may be recorded for quality. By continuing the call, callers acknowledge this disclosure.
You acknowledge that AI-generated outputs (responses, summaries, transcripts, mood scores, captured details) are produced by automated systems and may be incomplete, inaccurate, or contextually inappropriate. Voycee provides these outputs as operational tools and does not represent them as professional advice (legal, medical, financial, or otherwise). You remain responsible for reviewing call outcomes and escalating to human staff where appropriate.
We do not use the contents of your calls to train third-party AI models outside of providing the Service. Speech-to-text, language model, and text-to-speech vendors process call data under data-processing agreements that prohibit training on customer data.
6. Data Sharing
We do not sell or share your personal information for cross-context behavioral advertising. We may share data with the following categories of recipients:
SMS opt-in data: Voycee will not sell, rent, or share your mobile number or SMS opt-in information with third parties for marketing purposes. Mobile numbers collected via the SMS opt-in flow are used solely to deliver the Voycee service notifications described in our SMS Terms & Conditions.
- Subprocessors: third-party services that process data on our behalf, including cloud hosting, telephony, voice processing, payment processing, and authentication. See the complete subprocessor list for vendor names, purposes, data categories, and jurisdictions.
- Your integrations: Third-party services you connect (CRM, calendar, etc.) receive data as configured by you.
- Legal requirements: When required by law, subpoena, or to protect our rights and safety.
7. Data Security
We implement industry-standard security measures including AES-256 encryption at rest, TLS 1.3 encryption in transit, role-based access controls, and audit logging. Call recordings and transcripts are stored in encrypted cloud storage with access restricted to authorized tenant members.
8. Data Retention
We retain your data for the duration of your active account plus 30 days after cancellation. Call recordings are retained according to your plan settings. You may request data export or deletion at any time by contacting us.
9. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access and receive a copy of your personal data
- Correct inaccurate or incomplete data
- Request deletion of your data
- Object to or restrict certain processing
- Data portability

9a. Your California Privacy Rights (CCPA / CPRA)
California residents have the right to know what personal information we collect, request deletion, correct inaccurate data, and opt out of any "sale" or "sharing" of personal information.
Voycee does not engage in the sale or sharing of personal information as defined by the California Consumer Privacy Act (Cal. Civ. Code 1798.140). We automatically honor the Global Privacy Control (GPC) browser signal. If your browser sends GPC, your consent is recorded as opt-out automatically.
To submit a manual opt-out request, email privacy@voycee.com with the subject line "Do Not Sell or Share". We respond within 15 business days as required by Cal. Civ. Code 1798.135.
10. Cookies and Analytics
We use essential cookies for authentication and session management. These cannot be disabled because the Service does not function without them.
We use Google Analytics 4 (GA4) to understand usage patterns. GA4 only loads after you accept the cookie banner. If you reject the banner or if your browser sends a Global Privacy Control signal, GA4 does not load and no analytics events are recorded.
We do not use third-party advertising cookies. We do not engage in cross-site tracking.
11. International Data Transfers
Your data may be processed in the United States and other countries where our service providers operate. We ensure appropriate safeguards are in place for international transfers in compliance with applicable data protection laws.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and, where appropriate, by email.
13. Children's Privacy
Voycee is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately and we will promptly delete it.
